Executive recruitment company Monroe Consulting Group Vietnam is recruiting on behalf of a multinational consumer goods company. Our highly respected client is seeking an executive with at least 3 years’ experience in logistics and customer service coordination for the job of Logistics and Customer Service Executive. The job is based in Ho Chi Minh City, Vietnam. 

Job Summary: 

The Logistics and Customer Service Executive will be focused on executing, monitoring and documenting all day-to-day customer service and logistics related tasks for the timely and smooth operations, including importation. 

Job Responsibilities: 

1. Ex-shipment Tracking Report 

• To coordinate with Supply Planners and Factories on the tracking of shipments. 

• To submit actual invoicing report for the previous period every Week 1 Day 1. 

• To generate and validate on the Ex-ship report by weekly basis. 

2. Shipment follow-up 

• To collaborate with Supply Planner and source unit to ensure the timely preparation of invoice, BL, CO, packing list, COA in order to enable the distributors to apply for Import Permit 

• To secure and prepare necessary documents to release shipments (Invoices, Packing Lists, import permits, Bills of Lading, Delivery Receipts, etc.) 

3. Local importation regulatory requirements 

• To ensure custom brokers on timely application Custom Duty upon receiving commercial Invoices & packing list from Factories toward to MWC VN for payment & shipment clearance purpose. 

4. Conversion Cost Management 

• To check and update customs brokers & Distributors invoices to ensure accurate charges upon receiving. 

• To ensure that shipments are cleared in a timely manner without incurring additional cost such as D&D, storage cost & etc. 

• To participate in Logistics Conversion Costs reduction initiatives. 

• E-buy PO creation & GR for necessary LCC and Co-packing activities 

5. Customer Service Function 

• To create PO toward to Factories (P+3), liaise with Supply planners on the relevant information and closely monitor on the PO status accordingly. 

• To post GR in timely manners. 

• To review on the Tax payment that provided by custom brokers and submission for Log & CS manager for approval to enable Finance to issue toward VN Custom. 

• To co-pack activities management that liaise with Supply planners such as creation PO, GR, SO, Invoicing, reconciliation 

6. Collaborate with government bodies regarding government liaison matters 

• Coordination with custom brokers & government bodies for any importing issues regarding the shipments.

-A Degree/Diploma in Logistics, Supply Chain, or related field of study

-A minimum of two 3 years in Logistics & Customer services Coordination, primarily in the FMCG industry. 

-Experience in Customer Service & Logistics functions. 

-Experience in managing customs brokers and haulage. 

-Experience in generating invoices and credit memos (preferably in SAP). 

-Experience and confidence in communicating and dealing with local regulatory bodies (e.g. Bureau of Customs, Food & Drug Authority). 

-Competent in MS Office (Word, Excel), with an emphasis on the ability to generate, customize and maintain spreadsheet templates. 

-Working knowledge of SAP (invoices and credit memos) is preferred. 

-Excellent verbal and written English communication skills. 

-Willing to work long hours as required
